What the team site may collect, why it is used, and where families can direct questions about student information.

Important: These pages describe how the HSE Speech & Debate site is intended to operate. They are not legal advice and do not replace Hamilton Southeastern Schools or district policies, notices, consent requirements, records schedules, or official instructions. If a conflict exists, the applicable school or district requirement controls.
Scope
This notice covers the public HSE Speech & Debate pages, the public registration form, and the invite-only staff console operated through this application. It does not control SpeechWire, YouTube, NSDA Campus, Yaatly, email providers, or other third-party services linked from the site. Their own privacy notices apply when you use them.
Information the team may receive
- Student identity and contact details, such as name, preferred name, grade, date of birth, student ID, email, phone, and address when the form requests them.
- Parent or guardian identity and contact details, emergency contacts, relationship information, and optional secondary guardian details.
- Medical, allergy, accessibility, dietary, medication, and emergency information that a family chooses or is asked to provide for safe team participation.
- Participation interests, prior experience, goals, transportation and travel permissions, release instructions, fee details, receipt information, and electronic acknowledgements.
- Media-release and privacy acknowledgements, submission reference numbers, staff review notes, approval/payment/completion status, and an administrative activity history.
- Staff account and invitation information needed to protect the invite-only console, plus ordinary technical information used to operate the application and prevent abuse.
How information is used
The team uses registration information for team administration, student safety and planning, family communication, approved event and travel coordination, fee reconciliation, required school processes, audit/history of staff actions, and prevention of spam or abuse. Information should not be used for unrelated marketing. Registration information is not intended to be sold or used by the team for targeted advertising.
Who may receive it
Information may be available to authorized Speech & Debate staff and appropriate Hamilton Southeastern Schools or district personnel who need it for a legitimate school or team purpose. The application may also use service providers for hosting, database and object storage, authentication, email, security, or spam prevention. Those providers should receive only what is needed for the service and should handle it under applicable instructions, agreements, and school requirements.
The team may disclose information when needed to protect health or safety, comply with law or an official request, resolve a security issue, or meet school, district, league, or tournament requirements.
Students and children’s privacy
This workflow is intended for a school-authorized team purpose. A parent or guardian is expected to participate where the form asks for guardian information or acknowledgement. The school or district determines the notices, consents, contracts, and practices required for its students. If an official school or district notice gives a different instruction, that official notice controls. This page is not a substitute for the district’s FERPA, COPPA, directory-information, records, or media notices.
For background, families can review the U.S. Department of Education FERPA resource and the FTC COPPA guidance. Those official resources do not change the school’s own requirements.
Public content is different from a registration record
Public site copy and published photos are visible to anyone. Staff should publish only approved, appropriate content and should not put a student’s private contact, health, education-record, or registration information on a public page. A registration submission is intended for authorized review and is not automatically published.
Drafts, cookies, and retention
Before submission, the registration form keeps a working draft in the browser session so a family can move between sections. The draft is not sent to the team until the form is submitted. After submission, the registration and administrative history are retained as long as needed under applicable HSE/district record schedules, school requirements, contractual obligations, and legal or safety needs. This application does not promise a single universal deletion period.
The application uses authentication cookies for staff access and may use security and spam-prevention technology such as Cloudflare Turnstile. A third-party service may process technical data under its own terms and privacy notice.
Security and requests
The application uses controls such as authenticated, invite-only staff access, same-origin mutation checks, role checks, and spam prevention. No internet system can guarantee absolute security. Report a suspected disclosure or security issue promptly through the team contact page. Parents or eligible students should direct formal education-record access, correction, or FERPA questions to Hamilton Southeastern Schools or the appropriate district office.
